Privacy policy

What we collect

We only collect the data you give us or that is needed to serve the page:

• Contact form and callback request: name, company, email address, phone number and the content of your message.
• Product registration: your name, company, email address, product serial number and return address when a repair is requested.
• Shop orders: name, company, billing and delivery address, email address, phone number, VAT number, order content and invoice.
• Payment: card details are entered directly on the secure page of our payment provider. We never see or store your card number.
• Audience measurement (only after your consent): page visited, referring website, campaign parameters, device, browser, operating system, language and country.
• Consent: your cookie choices, their date and the banner version.
• Technical logs kept by our hosting provider for security and troubleshooting.

Why we use it and on which legal basis

Every use has a defined purpose and legal basis:

• Answering your questions and preparing a quotation: our legitimate interest in replying to a request you sent us.
• Processing an order, delivering it, invoicing it and handling warranty or repair: performance of our contract with you.
• Bookkeeping and tax obligations: compliance with Belgian legal obligations.
• Audience measurement and third party content such as embedded videos and maps: your consent, which you can withdraw at any time.
• Protecting the site against abuse and fraud: our legitimate interest in a secure service.

Who can access it

Your data is never sold, rented or exchanged. Inside our company, only the staff who need it (sales, support, accounting) can access it.

We rely on a small number of service providers who act on our instructions only: our website and database hosting provider, our transactional email provider (order confirmations and contact notifications sent from notify.micromega-dynamics.com), our payment provider Stripe, and our carriers for delivery. Accountants, auditors and public authorities receive data only when the law requires it.

Transfers outside the European Union

Our site and database are hosted with providers under contract with us. Some of our providers, such as our payment provider or the platforms behind embedded videos and maps, may process data outside the European Economic Area. Those transfers are covered by the European Commission standard contractual clauses or an equivalent safeguard.

How long we keep it

We keep your data no longer than needed:

• Contact messages and quotation requests: up to 3 years after our last exchange.
• Orders, invoices and accounting records: 10 years, as required by Belgian law.
• Product registrations: for the lifetime of the product warranty and support.
• Cookie consent: up to 6 months, then you are asked again.
• Audience statistics: kept in aggregated form, without any identifier that would let us recognise you.

Your rights

Under the GDPR you can ask for access to your data, its correction or its deletion, ask us to restrict or stop a given use, object to a processing based on our legitimate interest, and receive your data in a portable format. Where a use is based on your consent, you can withdraw it at any time without affecting what was done before.

Send your request to commercial@micromega-dynamics.com. We answer within one month. You can also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels.

Security

The whole site is served over an encrypted connection. Access to our database and to the administration area is restricted to named accounts, protected by a password and limited to the people who need it. Our administration area is closed to public sign up.

Children

Our products and services are aimed at professionals. We do not knowingly collect data from children under 16.

Changes to this policy

We update this page whenever our practices change. The effective date above always shows the current version.
